Job description

We’re hiring a highly capable, AI-fluent Junior Executive Admin VA to join the operational core of our fast-growing real estate business. This is not a sales role—you will be the quarterback behind our operations, systems, marketing, sales, and property management processes. We are looking for someone who is technically strong, systems-oriented, and ready to grow into a leadership-level role.

You’ll be executing tasks, coordinating with team members and vendors, managing follow-ups, maintaining our tools and platforms, and helping us scale smarter. This is a critical role for someone who wants to build something meaningful and long-lasting—not just take orders.

Key Responsibilities

Daily / Weekly

  • Triage inboxes, Slack, and platform alerts (Follow Up Boss, SISU, DoorLoop)
  • Manage and update task systems in Notion
  • Coordinate with team members and vendor partners
  • Perform research-based tasks
  • Handle tenant maintenance issues
  • Submit an end-of-day report with completed tasks and insights

Monthly

  • Research and develop the monthly marketing campaign
  • Draft newsletters and coordinate Mailchimp workflows
  • Prepare property management reports and track analytics across departments

Ongoing

  • Maintain lead, task, and vendor databases
  • Draft and refine SOPs using Whale + internal templates
  • Research tools, vendors, and systems that improve operations

 


A Day in the Life

  • Log in, review open tasks, and Slack alerts
  • Knock out urgent platform or inbox triage
  • Research an administrative property management task
  • Update the calendar
  • Perform client launches for interested sales clients
  • Draft or edit a listing agreement, proposal, or SOP card
  • Research real estate trends for our upcoming newsletter
  • Coordinate and identify vendors and inspectors
  • Coordinate with the video editor for an upcoming reel
  • Input new leads into our CRM with proper tags and notes
  • Run a property comp analysis or neighborhood profile
  • Wrap the day with a shift report including wins, blockers, and notes

  • Fluent and almost-native sounding English proficiency
  • Detail-obsessed, organized, and proactive
  • Systems-oriented and savvy
  • AI-savvy: You know how to use ChatGPT as a true assistant
  • Understands how to follow and manage SOPs
  • A critical thinker who asks contextual questions for tasks
  • Tech fluent and eager to learn new platforms fast
  • Proactive communicator who takes pride in follow-through
  • Operates with discretion, professionalism, and a growth mindset

 


Must-Have Skills & Setup

  • Strong written and spoken English
  • Proven experience in real estate admin or operations
  • Expert with Google Suite (Docs, Sheets, Calendar, Drive)
  • Familiar with CRM systems (Follow Up Boss preferred)
  • Comfortable with task/project tools like Notion, ClickUp, Asana
  • Familiarity with managing and posting to social media platforms
  • Intermediate graphic design capabilities
  • Reliable internet (with SpeedTest screenshot proof)
  • Owns a working computer (Mac or PC)

Bonus Skills (Not Required but Valued)

  • Video editing (Premiere, Canva)
  • Experience with Mailchimp, SISU, or DoorLoop
  • Familiarity with Canva, Photoshop, or design tools
